Terms and Conditions for Booking and Participation with My Friendly Planet

By booking yourself, your child, or your invitee(s)/guest(s) into a session with My Friendly Planet, you agree to the following terms and conditions:
1. Authority and Consent
I confirm that I am the parent, legal guardian, or custodian, or an individual authorised to enrol this child or participant. I have the legal capacity to agree to these terms on behalf of myself, the child, and any invitee(s)/guest(s).
2. Liability and Release
I agree that neither My Friendly Planet nor its volunteers, freelancers, or employees shall be held liable for any personal injury, property damage, or loss of insurance. I release and hold harmless My Friendly Planet and its personnel from all liability arising from participation in its activities, including any claims by myself, the child, or associated persons. These terms serve as a full release of liability for all parties involved.
3. Safety and Allergies
My Friendly Planet endeavours to create a safe, healthy, and enjoyable environment. I agree to disclose any life-threatening allergies or medical conditions to enable appropriate precautions. I warrant that the child can follow instructions and participate safely in all activities. Any behavioural or learning difficulties must be disclosed prior to participation. We reserve the right to refuse entry or participation if safety concerns arise.
4. Risk Acknowledgement
I acknowledge that participation in My Friendly Planet activities involves inherent risks, including personal injury or death, and I willingly accept these risks by allowing the child to participate.
5. Photography and Promotional Material
My Friendly Planet may take photographs or videos for promotional purposes, including but not limited to print, online, and social media. I agree to the use of images of myself or the child unless I specify otherwise by completing the necessary forms on the website.
6. Materials and Equipment
Most classes, workshops, and sessions include materials and equipment such as paints, glues, pastels, pencils, wood, plaster, fibre, wax, dyes, clay, and outdoor games. Some materials, such as sketchbooks, canvases, or specialised kits, may incur additional costs, payable in cash on collection. All costs are included for group workshops unless otherwise specified.
7. Attendance and Cancellations
Attendance: If unable to attend, please notify us at least 48 hours in advance for regular bookings, or 14 days for group bookings, to reschedule. Failure to do so may result in forfeiting your fee.
Non-refundable: Missed sessions are non-refundable. Deposits are non-refundable once paid. Full payments for parties are also non-refundable once made.
8. Deposits and Payments
A deposit or full payment is required to secure your place. Deposits are non-refundable. Please ensure you can attend before booking.
9. Cancellations and Refunds
Refunds, excluding deposits, are available if cancellation occurs at least 48 hours prior (for regulars) or 14 days prior (for group bookings). Refunds will be processed within 14 days of cancellation.
10. Cookies and Data Privacy
Cookies are used to monitor website usage and improve service. You can manage or delete cookies via your browser settings. Personal data collected will be used solely for processing bookings and communications and will not be shared with third parties.
11. Copyright and Content
All website content and images are copyright My Friendly Planet (2026). Reproduction or use of content without permission is prohibited.
12. Feedback and Complaints
We welcome your feedback and aim to resolve any concerns promptly. Contact us at tinasanchez@myfriendlyplanet.co.uk or via the contact page. Complaints will be acknowledged within 5 working days, with a response within 14 days.
Southsea Stage Crafters – Volunteer Terms and Conditions
Purpose: Southsea Stage Crafters volunteers assist with set design and prop making to support My Friendly Planet events. Their involvement is voluntary and subject to the following terms:
1. Volunteering and Attendance
Volunteers agree to complete a Southsea Stage Crafters Application form and commit to scheduled set design and prop-making sessions. Punctuality and attendance are essential to ensure the smooth running of projects.
2. Tools and Equipment
Volunteers may use tools and equipment provided by Southsea Stage Crafters / My Friendly Planet. It is the volunteer’s responsibility to handle tools safely and report any damage or malfunction immediately. Volunteers must not use unauthorised tools or equipment.
3. Health and Safety
Volunteers must adhere to all health and safety guidelines, including wearing appropriate protective gear when required. Any pre-existing health conditions that could affect safety must be disclosed prior to participation.
4. Material Usage
All materials used in set and prop creation are provided by Southsea Stage Crafters or My Friendly Planet. Volunteers must use materials responsibly and ensure proper disposal after use.
5. Attendance and Punctuality
Regular attendance is vital. If unable to attend, volunteers should notify the designated coordinator at least 24 hours in advance.
6. Liability and Insurance
Volunteers acknowledge that participation involves some risk. Southsea Stage Crafters and My Friendly Planet do not accept liability for personal injury or property damage unless caused by negligence.
7. Code of Conduct
Volunteers agree to behave professionally, respectfully, and cooperatively towards all team members and participants.
8. Ownership of Work
Set designs and props created by volunteers remain the property of Southsea Stage Crafters and My Friendly Planet, unless otherwise agreed.
